Q: Do clients who have already completed the pre and post assessments and work experience need to have a completed final evaluation?
A: Please go back to your employers and ask them to complete the evaluations. This is required by DOL so this information will be passed on to IWDS for reporting. If clients already completed the pre and post, you'll need to have the supervisor complete the evaluation and then you can go ahead and enter it. Having the evaluation does round out the SYEP. Youth need constructive feedback to improve foundation skills and prepare to apply for jobs once the program ends.
Q: Is the post-survey something different than the post-assessment?
A: The post-assessment is required per DCEO policy. It measures the knowledge gained while participating in the program. The post-survey collects participant feedback and opinions on the program and the content. This information is used for enhancement of the website and the program.
Q: Just to make sure, the pre and post tests are the same as last year correct? The system does not have new ones this year?
A: The pre and post tests are only the same for "New" participants. If you have participants who already did it last year, they have a different assessment and activities.
Q: If I am a contracted agency running the program, will I be the one to input the information such as the evaluation or will it be the Work Net caseworker that I work with?
A: We can provide direct access to LWIAs and their contractors to this. You'll need a workforce professionals account and let us know you need access (email info@illinoisworknet.com).
Q: Is the mid week evaluation a requirement?
A: The mid-evaluation is not required but if at all possible should be done. Otherwise, youth may not have a chance to correct issues and improve prior to a final. The final evaluation is required. This is only for WIA/ARRA SYEP. This is NOT for TANF YES.
Q: When is the final work site evaluation available?
A: To access the FINAL work site evaluation the youth have to complete the post-assessment. As soon as the post assessment is completed, the final work site evaluation becomes available.
Q: Where does the employer information come from?
A: Once the employer information is entered, it is added to the list.
Q: Are FEIN numbers required?
A: FEIN is not required for this WIA/ARRA program. It is only required for the TANF-YES program.
Q: How would DCEO staff, responsible for monitoring SYEP, gain access to the group to view pre/post test results?
A: DCEO monitors can have access to see all customer groups and when looking at groups will see all assessment outcomes and evaluation outcomes.
Q: What if they complete but do not pass the post-assessment
A: Per DCEO policy, to meet requirements their post assessment score has to exceed the pre-assessment score. They can retake it up to three times. Be sure they are prepared so they pass.
Q: If they don't complete (quit the job midway through) do they still need to do a post assessment?
A: If they quit, still have the employer do an evaluation (if at all possible).
Q: Does the provider who completes the worksite evaluation need to be the same provider who takes the youth through the pre/post test and the activities?
A: You don't have to have the same people handle both. You can determine who has access to your groups and handles entering evaluations.
To access groups, a workforce professionals account has to be setup. Then whoever with your LWIA or organization is responsible for your groups can add staff or consultants who need access to add youth and enter evaluations.
Once you put youth in a group, all the information automatically appears including the link next to each youth to add their employer, supervisor, and evaluation(s).
Please be sure they enter their SSN. This is the only way workNet can connect to IWDS. Illinois workNet automates updating IWDS with participant outcomes.
Q: If the customers have already completed some activities without being added into customer groups will it affect their wages if we go back and do it again.
A: No. It won't affect wages. Go ahead and put them in a group now and do the evaluation
Q: Certificate of Completion-Does that include their post assessment score? Or, is that a separate certificate?
A: The certificate is earned upon successfully completing the post assessment. It is automatically downloaded to their account. They can store it, print it, download it, and show it to parents and others.
Q: To clarify students can log in to Illinois workNet and build their profile?
A: Yes, if they already have an account they log in and click on my profile (highlighted in bright yellow on top right of page) and update/change their profile. A profile is a customer’s account information.
Q: How many tries can a youth get to get a passing score for their post-assessment? They can retake the post assessment up to three times. The DCEO policy is not changed from last year for the post assessment requirement. Per policy, the post assessment score must exceed the pre-assessment score.
Q: How many weeks prior to work experience completion can youth take the post assessment and complete final evaluation
A: Per policy you are supposed to do the post-assessment toward the end of work experience. However, the post assessment is available immediately upon completing the pre- assessment and activities. The work site evaluation should be toward the end of work experience.
Keep in mind the evaluation is looking at the foundational skills needed by all workers.
The evaluation is setup considering this could be a first time work placement for some youth. They need positive reinforcement to build skills.
Youth can keep their certificate in their account, download it, email it, print it, show it to parents, teachers, etc.
The certificate of completion is a concrete document that they can use for future employment.
If you put your youth in a group, with a correct SSN, our system will automate the update with IWDS to show if participants met requirements.
The work site evaluation will measure foundational skills needed in any job.
It is really important to first put your youth in your customer group, then do assessment, activities, and post assessment.
Once you have your youth in a group, you'll see a link to add an employer. The system automatically provides you this link.
If you already did assessments and activities, put your youth in a group now, and you'll still be able to do the evaluation.
Remind your employers that they need to score youth realistically and use positive reinforcement. This could be the first job for some customers.
You can print and hand the evaluation to the supervisor or email to them... Either way, be sure to explain it to them.
You'll notice the evaluation is geared toward people who may not have enough work experience to have mastered foundational skills.
Having both work readiness assessment and activities and a work site evaluation rounds out the program for youth to ensure their developing skills needs to get a job later on their own.
